Personal Information and Privacy Statement

Christian Labour Association of Canada (CLAC) is committed to protecting the privacy and confidentiality of personal information in its custody or under its control. This privacy statement explains how CLAC collects, uses, discloses, retains, and safeguards personal information, and describes the rights individuals have with respect to their personal information.

This privacy statement applies to CLAC’s websites, portals, mobile applications, and other online services (the “websites”), and to our offline interactions with individuals in Canada. Additional notices may apply to specific programs or tools and websites in this statement refers only to our online services.

By providing personal information to CLAC or using the websites, you acknowledge that your personal information will be handled in accordance with this privacy statement, subject to your rights under applicable privacy laws.

Our Commitment

CLAC does not sell personal information. Except as described in this privacy statement or as permitted or required by law, CLAC will not rent, trade, or otherwise disclose personal information to third parties.


Applicable Privacy Laws

CLAC complies with applicable Canadian privacy legislation, including:

  • Personal Information Protection and Electronic Documents Act (PIPEDA)
  • Quebec Act Respecting the Protection of Personal Information in the Private Sector (Law 25)
  • Alberta Personal Information Protection Act (PIPA)
  • British Columbia Personal Information Protection Act (PIPA)

Where provincial laws provide greater protection, CLAC applies those standards.


Changes to This Privacy Statement

CLAC may update this privacy statement from time to time to reflect changes in our practices or legal requirements.

When we make material changes, we will post the updated version on our website and update the “last updated” date. Where required by law, we will provide additional notice or seek consent.

We encourage you to review this privacy statement periodically.


Definitions

Personal information means information about an identifiable individual. It does not include information that has been anonymized so that it cannot reasonably be linked to an individual.


Privacy Governance

CLAC has designated a privacy officer who is responsible for ensuring compliance with applicable privacy laws and for responding to privacy-related inquiries and requests.


Collection of Personal Information

CLAC generally collects personal information directly from individuals. Personal information may include, depending on the context:

  • Name and contact information
  • Identification information
  • Payment-related information
  • Communications and correspondence
  • Website usage information

Personal information is collected only for purposes that a reasonable person would consider appropriate in the circumstances, and CLAC identifies those purposes at or before the time of collection, unless otherwise permitted by law.

In limited circumstances, CLAC may collect personal information from third parties, provided that such collection is lawful and consent has been obtained or is otherwise permitted.


Consent

CLAC obtains consent for the collection, use, and disclosure of personal information except where consent is not required by law.

Consent may be express or implied, depending on the sensitivity of the information and the reasonable expectations of the individual. Consent must be meaningful and may be withdrawn at any time, subject to legal or contractual restrictions and reasonable notice.

Changes to this privacy statement do not constitute consent for new or unrelated purposes.


Use of Personal Information

CLAC uses personal information for purposes including:

  • Communicating with individuals regarding CLAC activities and services
  • Processing payments
  • Improving CLAC services and websites
  • Conducting internal analysis, planning, and reporting

CLAC does not use personal information for purposes that are incompatible with the original purposes of collection without obtaining additional consent, unless permitted or required by law.

CLAC does not authorize third parties to use personal information for their own independent purposes.


Cross-Border Data Transfers

Personal information may be stored or processed outside of Canada, including in jurisdictions with different privacy laws. When personal information is transferred outside Canada, CLAC implements contractual and organizational safeguards to ensure an appropriate level of protection.

Individuals may request information about CLAC’s policies and practices regarding cross-border data transfers.


Use of the Websites

CLAC may collect technical information about website usage, including IP addresses, browser type, and activity logs. This information is used to maintain security, analyze usage trends, and improve website functionality.


Cookies and Tracking Technologies

CLAC uses essential cookies for operation and security, and uses non‑essential cookies (e.g., analytics) only with valid consent where required by law. You can change your preferences at any time via the cookie settings link.


Automated Decision-Making

CLAC does not currently use automated decision-making processes that produce legal or significant effects on individuals. If this changes, CLAC will provide advance notice and meaningful information about such processing as required by law.


Accuracy

CLAC makes reasonable efforts to ensure that personal information is accurate, complete, and up to date. Individuals are encouraged to notify CLAC of any changes.


Retention and Destruction

Personal information is retained only for as long as necessary to fulfill identified purposes and to meet legal or regulatory requirements. When no longer required, personal information is securely destroyed or irreversibly anonymized.


Safeguards

CLAC uses physical, administrative, and technical safeguards appropriate to the sensitivity of the information to protect against unauthorized access, use, or disclosure.


Access and Correction Rights

Individuals have the right to request:

  • Access to their personal information
  • Information about how their personal information has been used or disclosed
  • Correction of inaccurate or incomplete personal information

Requests must be made in writing and may be subject to verification of identity and lawful exceptions.


Quebec Privacy Rights

Individuals residing in Quebec have additional rights, including:

  • The right to data portability
  • The right to request cessation of dissemination or de-indexing where applicable
  • The right to lodge a complaint with the Commission d’accès à l’information du Québec

Data Breach Notification

In the event of a breach of security safeguards involving personal information that poses a real risk of significant harm, CLAC will notify affected individuals and relevant regulators in accordance with applicable laws and maintain required breach records.

If you have concerns regarding CLAC’s handling of personal information, you may contact the privacy officer. If unresolved, you may file a complaint with the appropriate privacy regulator.


Amendments

CLAC may update this privacy statement from time to time. Material changes will be posted on CLAC’s website, and the revised statement will indicate the date of last update.
