Senior HR Generalist - Cambridge

We are currently accepting resumes for a Senior HR Generalist to join the Human Resources Team. This is a full-time, temporary 7-month contract position located in Cambridge. 

 

Job Summary:

Reporting to the Human Resources Director, this position will work collaboratively within the Human Resources Team to administer all HR & Payroll functions and provide expert advice on various HR/payroll related topics to employees and managers across the organization. Responsibilities will include assisting the HR Director in ensuring CLAC is compliant with legislation and the standards of our own internal policies. The focus of this role is HR and will work closely with Payroll.

 

Key Responsibilities:

Human Resources:

  • Administer the new hire process from recruitment through to onboarding, including advertising, uploading job postings through multiple internal and external mediums, preparing applications for short listing and scheduling interviews
  • Assisting in the creation of job descriptions as necessary
  • Administration of new hires, leavers, transfers and amendments
  • Review and prepare employment contracts, offer letters and all relevant new starter paperwork in accordance with CLAC policies
  • Maintenance of computerised HR/Payroll system and paper/electronic documents and SharePoint site in a timely, consistent and well-organized manner
  • Prepare employment verification letters and confirm employment with external sources as appropriate
  • Provide HR and payroll information to employees and line managers in accordance with relevant policies/practices
  • Compose and distribute routine written correspondence from human resources & payroll
  • Maintain administrative forms, manuals and template documents
  • Administer appraisal process when required, setting up and keeping track of progress following up as necessary with staff and resolving system issues
  • Recording and collation of HR metrics
  • Prepare and maintain standard and ad hoc reports, queries, and conduct appropriate audits to ensure data integrity
  • Ensure proof of right to work documentation are received for all staff
  • Checking and inputting data for payroll from a variety of spreadsheets when required
    (overtime, vacation pay)
  • In collaboration with payroll team members, ensure all relevant pay data is inputted to meet payroll timetables
  • Interpret and apply the internal policies and relevant legislation for various situations. Communicate that information to managers/employees as needed.
  • Counsel managers on hiring practices, performance management process, and other relevant CLAC best practices
  • Attend and participate in discipline meetings, hiring committees, and other meetings where HR presence is requested. Speak on behalf of HR in such meetings
  • Assist Managers in short-term or long-term planning for their department – including aspects such as succession planning, restructuring, reclassifying, new hires, etc.
  • Review internal policies to ensure they are up to date with legislation and best practices
  • Administer the short-term disability and long-term disability process for employees in collaboration with team members
  •  Conduct formal and informal workplace investigations

Payroll

  • Back up for processing semi-monthly in-house payroll with minimal supervision, including tracking and verifying information from a variety of sources, lists and reports
  • Calculation of various payroll items for processing
  • Issue Records of Employment
  • Assist with preparing year-end filings
  • Assist with reconciling payroll data monthly and for year-end purposes

General

  • Coordinate student employment experience and the co-op program, including supervising the co-op students.
  • Prepare and deliver training and presentations related to HR policies and programs
  • Contribute and implement ideas to improve HR/ Payroll systems and processes

Carry out any other ad hoc duties to support the Payroll and HR teams as required

 

Qualifications:
  • Completion of university diploma/degree preferably in HR and/or Payroll
  • PCP certification is an asset
  • CHRP designation (or working towards) would be a definite asset

 

Skills and Experience:
  • A minimum of 4 years’ experience in HR and/or payroll administration
  • Payroll experience in a unionized context would be considered an asset
  • Organized and detail oriented with a strong sense of priority and confidentiality
  • Excellent verbal and written communication skills
  • Strong communication and interpersonal skills
  • Knowledge of human resources and payroll practices and principles, including reporting and remitting requirements
  • Ability to work independently and as a part of a team
  • Innovative with ability to create efficient processes
  • Enjoy working with people and sharing knowledge
  • Ability and willingness to learn subject matter quickly
  • Proficiency in MS Office (Outlook, Word, Excel, etc.) and SharePoint
  • Skillful in using HRIS and/or in-house payroll database systems

 

Reporting and Accountability:

This position reports directly to the Human Resources Director.
